This privacy policy applies to the “actaMProject” mobile app for iPhone and Android. Our website is covered by the general Logic Screen privacy policy.
The app is the mobile client for actaMProject, project management software that companies and organisations provide to their staff. The app only works with a user account on your company’s actaMProject installation. Almost all data you see or enter in the app is stored there, not in the app.
For the data in the actaMProject installation (your account, projects, to-dos, appointments, conversations with the assistant, voice calls, meeting recordings, minutes and reports), the controller is the company or organisation that uses actaMProject – usually your employer. Where Logic Screen operates the installation, we process this data solely on behalf of your company (Art. 28 GDPR). Please direct questions about this data to your company first.
For the app itself and its technical services (delivering app updates, delivering push notifications), the controller is:
Logic Screen Solutions GmbH
Bussardweg 26
76356 Weingarten
Germany
Phone: +49 7244 60980-0
Email: contact@logicscreen.solutions
The app contains no advertising and no advertising identifier. It uses no analytics, tracking or crash-reporting services. No usage profiles are created, and no data is passed on to ad networks or data brokers.
To sign in, the app sends your email address and password in encrypted form (HTTPS) to your company’s installation. Your company gives you the installation’s server address; you can type it in or scan it from a QR code.
When you sign in, the app also sends a randomly generated device ID and a device name (operating system and version). This lets the installation tell your signed-in devices apart and end individual sessions.
On the device, the app stores a sign-in token in the operating system’s protected storage (iOS Keychain or Android Keystore), so you don’t have to enter your password every time you open the app. Your password itself is not stored. When you sign out, the app deletes the token and deregisters it with the installation.
The app loads to-dos, appointments, projects and meetings from the installation when needed and keeps them in memory only while you use it. Whatever you create or change is stored by the installation. Only display settings remain on the device, such as filters, the most recently selected project or the “upload over Wi-Fi only” setting.
When you write to the assistant, your message and the project data needed for the answer go to your company’s installation. From there they are sent to the provider of the language model (AI) that your company has configured in its installation. Your company can tell you which provider that is and where it processes the data. The assistant only sees data your account is authorised to access.
Conversations are stored in the installation so you can open them again later. The assistant asks you before it changes any data; you decide which actions require confirmation.
“About you”: The assistant can remember things it learns about you in conversation, such as your usual working hours or how you like answers to be written. The installation stores these entries; they are visible only to you and your assistant and are sent to the language model with every request. Under “More → About you” you can view, edit and delete the entries at any time, or switch the feature off.
Voice calls require access to the microphone. During a call, the app streams your speech live to the installation. From there it goes to the speech service Microsoft Azure AI Speech (Microsoft Ireland Operations Limited), which converts it into text and reads the assistant’s replies aloud. Your company sets the region of the speech service; the default is a data centre in Germany (Frankfurt). The text of the conversation is then sent to the language model, as in chat.
No audio recording is stored, neither on the device nor in the installation. The history contains only the text of the conversation. Before your first call, the app shows these notes and asks for your confirmation.
So that an ongoing call continues while the screen is locked, the app uses the operating system’s background audio feature. It is only active while you are on a call.
You can use the app to record in-person meetings. Before each recording, you confirm that everyone present has been informed about the recording and has agreed to it. You or your company are responsible for obtaining this consent.
The recording is first stored on the device, in storage that is excluded from device backups. The app uploads the recording in encrypted form to the installation – by default over Wi-Fi only – and immediately deletes each uploaded part from the device.
In the installation, the recording is transcribed with Microsoft Azure AI Speech, distinguishing between speakers. The language model then creates a summary and identifies tasks and decisions. You or other authorised users review these suggestions before they are adopted. The installation stores the audio recording and minutes until the meeting is deleted there.
You can share reports as PDF via the operating system’s share function. You decide yourself with whom, or into which app. To share, the app places a copy of the report in the device’s temporary storage.
If you allow notifications, the app lets you know, for example, when a meeting has been analysed or a report is ready. Notifications deliberately contain no content from your projects – no meeting or report titles, no project names, no names of people – only general notes such as “3 items are waiting for you”. You only see what is meant after tapping, in the app, which loads it directly from the installation.
For this, the app generates a push token and registers it with the installation. The installation hands notifications to the push service of Expo (650 Industries, Inc., USA), which delivers them to your device via Apple’s notification service (Apple Push Notification Service) or Google’s (Firebase Cloud Messaging). In doing so, these services process the push token, the general notification text and a technical identifier of the meeting or report that the app uses to open the right screen.
When you sign out, the app deletes the push token and deregisters it with the installation. You can turn notifications off at any time in your device settings. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in delivering the notifications you have allowed).
On start-up, the app checks whether a new version of the app content is available and downloads it if needed. To do this, it calls Expo’s update service (650 Industries, Inc., USA). Your IP address and technical details about the platform, app version and update channel are transmitted; no personal content from the installation is transferred. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in a secure and error-free app).
Expo is based in the USA. Transfers to Expo take place on the basis of the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR). Apple and Google are certified under the EU-US Data Privacy Framework.
You download the app from Apple’s App Store or from Google Play. Apple and Google process data under their own privacy policies when you do so. From Apple and Google we receive at most aggregated, non-personal statistics, such as the number of downloads.
The app only asks for permissions that a feature you use actually needs:
The app does not access your location, contacts, photos or any other data on your device. You can revoke permissions at any time in your device settings. Access to these device functions is strictly necessary for the respective feature (Section 25(2) no. 2 TDDDG).
When you sign out, the app deletes the sign-in token and the push token. Until you uninstall the app, the following remain: the server address (with recently used addresses), display settings and meeting recordings that have not yet been fully uploaded. When you uninstall the app, the operating system deletes all of the app’s data on the device – including recordings that have not yet been uploaded.
For the data in the installation, your company determines the purpose, legal basis and retention period. In an employment relationship, this is usually the performance of the employment relationship or a legitimate interest of the company; for meeting recordings, the consent of those present. Your company can give you the details.
For the app’s technical services (updates, push notifications), the legal bases stated in the respective sections apply. We delete any data that arises at Logic Screen in the process as soon as it is no longer needed for delivery.
You have the right of access, rectification, erasure, restriction of processing, data portability and objection, as well as the right to withdraw consent at any time. You can also lodge a complaint with a data protection supervisory authority.
For data in the actaMProject installation, please contact your company. For the app and its technical services – or if you are not sure whom to contact – a message to contact@logicscreen.solutions is enough; we will forward requests to your company where necessary.
The app makes no decisions that produce legal effects concerning you or similarly significantly affect you. The assistant’s suggestions, such as tasks identified in a meeting, are reviewed and confirmed by people.
We update this privacy policy when the app or legal requirements change. The version published here applies. In case of doubt, the German version prevails.
